Job Description
- To assist the head of department and staff in in all office operations and administration activities, by maintaining important documents and handling confidential information.
- in order to ensure timely and accurate fulfillment of business requirements as per Nesma & Partners policies.
- Facilitate seamless communication channels by overseeing correspondence, managing incoming calls, and prioritizing emails to enhance workflow efficiency at an executive level.
- Exhibit a professional demeanor when handling calls and welcoming visitors, creating an atmosphere of sophistication to leave a lasting positive impression.
- Compose impeccable emails and letters for various events and announcements, ensuring a high level of credibility and professionalism in all written communications.
- Efficiently coordinate internal and external meetings with a focus on professionalism, demonstrating excellent organizational skills and attention to detail.
- Take charge of meeting preparations, handling all administrative and logistical arrangements to guarantee a smooth and productive session.
- Demonstrate exceptional communication skills, encompassing presentation, persuasion, and negotiation abilities, crucial for interactions with guests, vendors, and colleagues, even under pressure, to facilitate a streamlined operation.
- Capture and disseminate meeting minutes, agendas, and packages, promoting transparency and understanding of the work process among team members.
- Draft memos and meticulously file all correspondence (incoming/outgoing), ensuring everyone remains informed and aligned with ongoing processes.
- Collaborate closely with executives to provide strategic support, offering insights and recommendations to optimize decision-making processes.
- Conduct research and compile comprehensive briefs, enabling executives to stay well-informed and prepared for various engagements.
- Handle confidential information with the utmost discretion and confidentiality, reinforcing trust and reliability in the executive secretary role.
- Coordinate and execute special projects, showcasing the ability to take initiative and contribute to the organization's overall objectives.
- Act as a liaison between executives and other departments, fostering cross-functional collaboration and ensuring a cohesive approach to organizational goals.
- Proactively identify opportunities for process improvements and implement innovative solutions to enhance overall operational efficiency.
- Take the lead in organizing executive-level events, from conferences to high-profile meetings, demonstrating a keen eye for detail and a commitment to creating impactful experiences.
Job Qualifications
- A minimum of 5 year(s) of working experience is required.
- Candidates must be a Bachelor's / College Degree holder in Business Studies/Administration/Management; Others or similar fields.
- Male applicants are preferred for this role.
