Establish a Centralised Document Management Function
Purpose
The ORYX GTL Quality Department requires resources to assist to establish a
centralised document management function for management documentation (non~
Engineering documentation)
Duties
1. Format existing Management Documents to ORYX GTL templates (MS Word,
MS PowerPoint, MS Excel) Standards, forms, templates, work instructions,
standing instructions, training manuals, etc.
2. All new documents to be reviewed and "filed"
a. Review document content for but not limited to
• Structure
• Look and feel
• Font types and sizes
• Headers and footers
• Use of headings
• numbering
• Indentation
• Use of abbreviations
• Consistency
• Compliance with ORYX GTL requirements
b. Format documents
• Format an incorrect formatted document
• Use templates as a formatting tool
c. Establish correct metadata
• Each document must be described
d. Prepare documents for sign off
• Prepare documents for signoff
• Liaise with owners to incorporate recommended changes
e. File in appropriate locations
• Electronic copies in SharePoint
• Hardcopies in physical centralised storage location.
f. Set up permissions
• Implement the standard and procedures for permission
management of documentation
3. Create electronic forms
4. Update ORYX GTL Documentation templates as required

5. Housekeeping of Documentation Centres
a. Liaise with owners on the content
b. Reorganise contents to meet company requirements
c. Set up permissions as stipulated by site owners within IMS requirements
6. Update the record matrix by section
