NATURE AND SCOPE OF POSITION
This experienced professional must have significant technical knowledge and be able to quickly integrate into existing teams to help perform the work and provide practical support to team members throughout the organization.
SPECIFIC ACCOUNTABILITIES
· Always give first consideration to the health and safety of the individual, of all team members, and of any third parties,
· Understand KNS values and demonstrate appropriate behaviours,
· Under all circumstances, understand and follow all KNS policies and procedures,
· Coordinate with KNS document control and the project to complete and turnover documentation,
· Coordinate and maintain various administrative documents and registers such as: staffing plans and cost reports,
· Set-up and maintain electronic and (where necessary) paper files for the department,
· Monitor the mobilization of commissioning personnel, ensure travel and accommodation arrangements are in place (including visa, site badge, travel, hotels, transport, room bookings),
· Interface between commissioning management and the training department to ensure training arrangements are in place for commissioning personnel,
· Interface between commissioning management and the vendor rep coordinator to help ensure vendor reps are present when needed,
· Receive weekly and monthly reports from all groups across commissioning and operations –
· translate and format where necessary
· collate into summary reports, and
· perform the first level of the editing
· support managers to produce final reports, including obtaining approvals, and additional editing as needed,
· Produce minutes for complex meetings and be able to clearly understand the topics discussed in both French and English, and accurately and concisely summarize the decisions,
· Perform rapid translation when required (verbal and written) and interface with the translation department to perform larger translation projects,
· Ensure complete and accurate arrangements for visits by non-Koniambo people (meetings, visits) including visa, site badge, travel, hotels, transport, room bookings are in-place. Follow- up and ensure all arrangements are in place. Resolve issues and update the requester/traveler on progress and roadblocks.
· Be flexible and adaptable to changing and often difficult circumstances including changing assignments of responsibilities, shift schedules, and team work.
REQUIREMENTS
· A University degree, preferably in a technical field,
· Fluently bilingual (English/French) oral and written,
· Three (3) to five (5) years of industry experience, preferably in large scale projects, including reporting and document management. Prefer prior experience in a Commissioning-related role,
· Proactive – understands priorities and can get things done fast with minimum direction,
· Well organized and can take direction from more than one person,
· Can manage multiple projects simultaneously,
· Software proficiency: Word, PowerPoint and Excel (expert), Visio, MS Project. Working knowledge of SAP is an asset.
