JOB SCOPE
- Support Global Sales objectives through management of Global Customer Service & Logistics department. Manage a team of approximately 15-18 performing the following functions: Customer Service, Demand planning, Documentation/Product Registration & Freight Pay.
Job Description
- Ensuring end to end sales order management in SAP
- Coordination with Warehouse for timely shipment of consignment
- Coordination with Customers for order collection, shipping instructions, receipt of purchase orders issuing invoice, resolve UPC code mismatch and resolving other issues
- Coordination with freight forwarders for timely arrangement of transportation, clears goods for export from port and provide necessary documentation as required.
- Coordination with Shipping location for execution of order based on export instructions and arrangement of gound transportation at branch locations wherever applicable.
- Planning and arranging transportation in line with customer profile
- Coordination with Product supply team for checking availability of product before sending acceptance to customers
- Manage smooth coordination and relationship with export manager
- Ensuring validation of LC documents and making sure invoice is generated against valid LC
- Timely collection of documents from freight forwarders, shipping location and carriers.
- Tracking of shipment and ensuring goods are delivered to customer as per delivery date
- Coordination with 3rd Party for adherence of delivery schedule and ensuring shipping is done in time to meet delivery time
- Create and issue PO to 3rd party and perform MIGO in SAP
- Having Knowledge of Inco terms and recognize revenue in line with Inco terms
- Working knowledge of MM module, SD Module and FICO module of SAP
- Knowledge of custom documentation mainly Bill of lading, Airway bill, transfer price compliance, LC etc.
- Making sure order is created in line with customer profile and all terms & conditions are purchase orders are complied with
- Prior experience in working with cross functional team
- Strong communication skills and prior experience in handling external and internal customers
KEY RESPONSIBILITIES
Customer Service
- Manage team of 13 Customer service Coordinators executing customer orders sourcing from 50+ locations to 90+ countries globally.
- Ensure that sales goals are met on a monthly basis for 12 different business units.
Demand Planning
Manage 2 Demand Planners to direct sourcing strategy based on customer needs and order patterns.
Maintain adherence forecast requirements by sales.
Documentation/Registration
- Manage a team of 2, (Doc Registration Specialist & Operations Data Specialist).
- Provide daily direction help assist to interpretation of import regulations
Freight pay
- Manage Freight Pay Analyst
- Mitigate escalated issues with vendors
Distribution/Operations
- Establish and institute Export best practices with all sourcing locations
- Manage the execution and communication of North American practices, policy & transition integrations.
Transportation
- Vendor selection & management. Requirement spec building in conjunction with procurement teams.
Risk management
- Maintain Claims process & procedures.
- Resolve all claims related matters all claims related mitigation.
Systems
- Collaborate with Master Data to establish and maintain Export processes for Product set up, pricing, customer & vendor set ups
- Review & approve customer set ups and revisions for Incoterms, addresses, contacts, set shelf life and Export Electronic Info status
Miscellaneous
- Develop and manage Export compliance programs.
- Provide International Customer Service, Operations & Logistics expertise on a company wide basis.
- Operational decision point for day to day issue resolution.
